Every lead in the HeyZack Partner Portal has a status that tells you and your team where that opportunity sits in the sales and installation process. Statuses are colour-coded throughout the portal — in list view badges, Kanban columns, and the lead detail header — so you can read the state of your pipeline at a glance.

The nine statuses

Badge colour: PinkA lead enters Pending when it has been created but no outreach has taken place yet. Use this status for leads that are queued for action but not yet assigned or contacted.This is the starting point for leads added manually to the portal before a team member has reached out to the customer.
Badge colour: GreyContacted means a team member has made initial contact with the customer. The conversation has started, but the customer has not yet asked for a quote.Move a lead to this status after the first call, email, or meeting with the customer.
Badge colour: BlueQuote Requested indicates the customer has expressed interest and explicitly asked for a quote or proposal. You have enough information to begin preparing a quotation.Update the status to Quote Requested as soon as the customer confirms they want to see a price.
Badge colour: YellowQuote Sent means a formal quote has been prepared and delivered to the customer. You are now waiting for their response.Move the lead to this status the moment you send or share the quotation, so you have an accurate record of when the customer received it.
Badge colour: PurpleQuote Approved confirms the customer has accepted the quote and the deal is agreed in principle. The next step is to schedule the installation.Update to this status when you receive written or verbal confirmation from the customer.
Badge colour: GreenInstallation Scheduled means a date and time for the installation have been confirmed with the customer. The job is in the calendar and ready to proceed.Move the lead to this status once the installation appointment is locked in.
Badge colour: EmeraldCompleted means the installation has been carried out successfully and the job is closed. No further action is required on this lead.Set a lead to Completed after the installation is signed off and any follow-up tasks are done.
Badge colour: OrangePaused means the opportunity is on hold. The customer may be reconsidering, waiting for financing, or dealing with a delay on their end. The lead is still live but not actively progressing.Use Paused rather than deleting the lead when you expect to pick it up again in the future.
Badge colour: RedRejected means the opportunity did not result in a sale. The customer declined the quote, became unresponsive, or the deal fell through for another reason.Move a lead to Rejected to close it out without deleting the record, so you retain the history for reporting purposes.

Typical progression through the pipeline

Most leads follow a forward path through the statuses, though the exact route depends on how quickly the customer moves and whether any delays arise.
Pending → Contacted → QuoteRequested → QuoteSent → QuoteApproved → InstallationScheduled → Completed
Not every lead follows this exact sequence. Some arrive already in the Contacted state if they came in through a direct enquiry. Others may skip Quote Requested if the partner prepares the quote proactively.
You can set a lead to any status at any time using the edit dialog or by dragging the card to a different column in Kanban view. The portal does not enforce a strict forward-only progression.

When to use Paused or Rejected

Use Paused when the customer is still interested but the deal cannot move forward right now. Common reasons include:
  • The customer is waiting for budget approval
  • The site is not ready for installation
  • The customer wants to revisit in a future quarter
A Paused lead should have a follow-up date set so it does not get forgotten.

In Kanban view, each column displays its lead count in the header. Use this to spot bottlenecks — for example, a large number of leads stuck in Quote Sent may mean follow-ups are overdue.

Updating a lead’s status

You can change a lead’s status in two ways:
  • From list view — Click Edit on the lead row, change the Status field in the dialog, and save.
  • From Kanban view — Drag the lead card to the column that matches the new status.
